How two leading universities transformed scheduling with SaaS

During the webinar, Mark Bonetzky, Academic Registrar, Timetabling & Student Records at Kingston University, and Matt Kaylor, Student Registry Services Manager, Timetabling and Scheduling at the University of Leicester, discussed their transformative journeys adopting TechnologyOne’s SaaS product: Timetabling & Scheduling.

Insights from UCISA: the impact of SaaS on timetabling

Key outcomes highlighted during the webinar included significant performance and operational efficiency improvements.

Both universities reported immediate benefits upon transitioning to TechnologyOne’s SaaS solution, noting considerable enhancements in scheduling accuracy, workload reduction, and overall resource management.

"If you aren't on SaaS, I really do think you need to be. I can't stress how much it does flip your IT burden. It will remove that much from your teams," said Matt Kaylor from the University of Leicester.

Mark Bonetzky from Kingston University also emphasised the value of SaaS in automating previously cumbersome reporting processes.

"We've actually automated some reports... We've literally gone from about 30-40 clicks down to about two or three,” he said.

Kingston University first adopted TechnologyOne’s Timetabling & Scheduling product in June 2024, marking the start of a transformative journey in their approach to scheduling. Leveraging the SaaS solution, the university at once experienced substantial improvements to their overall timetabling capabilities from day one.

Immediate gains in scheduling efficiency

Upon transitioning to SaaS, Kingston University immediately saw performance improvements. Timetable roll-over procedures that previously consumed significant administrative time have been streamlined, dramatically reducing manual workload and allowing staff to focus on more strategic tasks.

Automated reporting reduces workload significantly

The implementation of automated reporting through TechnologyOne’s platform significantly reduced Kingston’s reporting complexity.

Mr. Bonetzky further illustrated the benefits, stating, "these automated custodial reports have been huge time savers, they're easy to see and use, dramatically improving our efficiency."

Future-focused: staff workload analysis using SaaS analytics

Looking ahead, Kingston University is keen to use advanced SaaS analytics further to optimise staff workload management.

"We're also working on some staff workload analysis, using the CIA dashboards and analytics to provide departmental-level staff workloads,” Mr. Bonetzky added.

University of Leicester: SaaS as a strategic enabler

The University of Leicester began its partnership with TechnologyOne’s Timetabling & Scheduling product in January 2024, strategically aiming to enhance security and overall efficiency.

Leicester’s Matt Kaylor emphasised several factors that guided their decision:

"It’s military-grade security. We are risk-averse and a really discerning customer, so we're confident in the security that we get,” he said.

“We scanned the market thoroughly and selected TechnologyOne because we felt confident it was the best overall package available."

Mr. Kaylor has also previously told TechnologyOne it used to take them far, far longer to develop timetables.

“It used to take over a fortnight to develop the exam timetable,” he said.

“The software was just bolted on to our existing system, and the vendor took no responsibility when we ran into problems.”

TechnologyOne’s offering also provided Leicester with greater internal control, especially regarding ETL (Extract, Transform, Load) processes. This reduced their dependence on external consultancy, significantly easing internal resource demands and enabling quicker, more efficient upgrades.

"It's been an absolute game changer for us,” Mr. Kaylor said.

“We've successfully conducted two upgrades with ease, freeing significant internal resources."
